Why will information about the girls be held on Go!

Holding personal detail on Go! for girl members has a number of advantages for leaders and Girlguiding UK.

  • Leaders will be able to produce template letters to help simplify administration process
  • The annual census process will no longer involve time-consuming forms
  • Go! will speed up the process of collecting annual subscriptions

Please be reassured that this approach ensures that we are complying with the Data Protection Act 1998.

When you use the system through the internet it will not shore the data onto your PC. However, you must not save data onto memory sticks, CDs or home computers. All the information needed in an emergency is on the Starting Leaflets which can be kept confidentially in one file and carried to and from the meeting place.

These leaflets can either be downloaded from the Girlguiding UK or Go! websites (www.girlguiding.org.uk) or can be ordered either via Depots or direct from Trading with the following product codes:

  • Starting Rainbows - Product code 6164
  • Starting Brownies - Product code 6808
  • Starting Guides - Product code 6519
  • Starting Senior Section - Product code 6043

If ordering online you will only pay the postage and packaging.

Please note that the 2008 version of the starting forms is the most up to date, if you have stocks of previous version these can still be used.

When does the information about the girls need to be entered onto Go!

You will be advised of the deadline for the initial recording of the information about the girls on Go! when we know the 'go-live' date. Please make sure that all members' details gave been loaded by this date. After this, you should add new members whenever a new member joins your unit.

Do I need to get permission from parents to load their information on Go!

  • There is no need to specifically advise to get permission from parents to hold this information about their daughter. You will note that the Starting leaflets already advise them that details will be held on a database.
  • We realise that a very few parents may have concerns about the need to store information electronically so we hope that the template letter attached would also help to allay their concerns and reassure them. [link to template letter in MS Word]
  • We would recommend that you are positive when speaking to parents about his matter. In this day and age most parents are already familiar with being asked to provide details about their children: when they start school, register at the doctors' etc. Girlguiding UK is doing the same as other organisation in the 21st century and we have ensured that we are holding information appropriately, as we have had nearly 100 years of experience of careful stewardship of this information
  • We recognise that there will be a very small number of parents/carers including those in BGIFIC, who will, due to personal circumstances, not wish their child's record to be stored on a database.
